Feature PETER ROSENKRANDS WAS standing in a hospital in Brazil. One of his closest employees had collapsed. Could it be a blood clot? The symptoms seemed to point in that direction. His leg was deep red, and the discolouration was spreading by the hour. His mobile phone barely worked. The hospital bill was far beyond the payment limit on his Visa card. Calls with the insurance company kept breaking up. The hospital staff could not understand what was being said. And in the middle of it all stood the owner of Proplast, a long way from home. I was standing there in Brazil, and at that particular hospital my phone simply did not work. I was trying to speak to the insurance company, but the connection kept cutting out, Peter Rosenkrands recalls. To set the record straight from the outset: it was not a blood clot, but a severe case of erysipelas, a bacterial skin infection. During those first few hours, however, the situation remained uncertain and critical. When Plastforum visits Proplast in Præstø, the conversation returns to the incident several times. The experience stayed with Rosenkrands. It was a serious scare, and once the immediate shock of the crisis had subsided, it brought him back to an issue he had already been working on for several years: How do you make a company less vulnerable? THIS WAS NOT the first time Peter Rosenkrands had considered what would happen if key people suddenly became unavailable. A few years ago, before boarding a flight, he wrote an email to his son. It was the most difficult email he had ever written. I was about to leave and suddenly thought: If this plane goes down, shouldn't I make sure there are some instructions for my family? Today, the situation is different. Proplast now has both a CFO and a COO on its management team, while responsibility for several functions is shared among a broader group of employees. We have made a concerted effort to reduce our dependence on key individuals. So we are in a much stronger position today, Rosenkrands says. Illness, system failures, cyberattacks, new customer requirements and growing demands for documentation all have one thing in common: companies need to be prepared. Digitalisation plays a significant role in that effort. PROPLAST HAS INVESTED in Microsoft Business Cen- tral as its ERP system and integrated it with the production management system, Polly. The aim is greater efficiency, but also reduced vulnerability. We now have a far more interactive system that is continuously updated. When we make changes in Business Central, they are transferred to Polly and out onto the shop floor. It is a vital step for us in maintaining an overview as we add more and more production lines and the complexity increases, Peter Rosenkrands explains. We have made a concerted effort to reduce our dependence on key individuals. So we are in a much stronger position today. For Rosenkrands, that is crucial. Proplast is seeing a growing volume of orders, but it is not simply the number of orders that is increasing. Each individual 24 order has also become more demanding. Certificates, measurement reports and other documentation are often required. Customers are raising their expectations, while traceability, quality and flexibility are becoming increasingly important. THE SYSTEMS THEREFORE form part of the company's contingency planning. Technology cannot eliminate every risk, but it can make knowledge accessible to more people. If an employee is suddenly unavailable, production must not come to a standstill because essential information has disappeared with that person. Having a digital overview does not mean that Proplast has abandoned analogue safeguards. Production plans are still printed out. Paper is no longer the primary system, but it may prove essential if something fails. That may sound almost old-fashioned in an article about digital resilience, ERP systems, cloud technology and artificial intelligence. Yet it encapsulates Peter Rosenkrands' approach precisely: future-proofing is not simply about adopting the latest digital tool. It is also about having considered what to do when those digital tools fail. POLLY WAS DEVELOPED by a small Danish software company, and Proplast has been involved in its development for the past year and a half. Peter Rosenkrands describes the company as a kind of development partner. The people behind Polly have spent time on the shop floor and have been very focused on listening to the users. They were extremely good at listening to what people actually needed, rather than what they themselves thought was a brilliant idea, he explains. That has helped secure employee acceptance. After all, a new system can easily be perceived as something imposed on an organisation from above. One tangible benefit of the new system is improved workforce planning. Previously, Proplast could see how many employees were working in a particular department. Now specific operators can be assigned to individual production lines, providing a much clearer picture of the tasks scheduled for the day and the week ahead. For employees, this means they can prepare more effectively. For management, planning becomes more transparent. And for the company as a whole, production becomes less dependent on verbal agreements and individual memory. Cybersecurity is therefore playing an increasingly important role in Proplast's efforts to prepare the company for the future. The company has changed its IT architecture and invested in firewalls, cloud solutions, email filters and security systems. These measures have been introduced both to protect Proplast itself and in response to customer requirements. It was a non-negotiable requirement from a major customer. We signed an agreement with the intention of having everything in place within a year and a half. It has cost us around half a million Danish kroner, Rosenkrands says.
